Vendor Exhibitor Code of Conduct Addendum

This Vendor / Exhibitor Code of Conduct (“Code”) applies to all vendors, exhibitors, and sponsors (“Vendors”) participating in the MAC Conference (“Conference”), organized by MAC Conference (“Organizer”). By registering, purchasing a booth, or otherwise participating in the Conference, each Vendor agrees to be bound by this Code. Compliance with this Code is a material condition of participation.

Purpose

The MAC Conference is committed to providing a safe, professional, and inclusive environment for all participants—attendees, speakers, sponsors, exhibitors, and staff alike. This Code sets the standards vendors must meet to support that commitment. All participants benefit when exhibitors engage with integrity, respect, and transparency.

1. Scope and Applicability

This Code applies to:

The Vendor entity;

All Vendor employees, representatives, agents, contractors, speakers, and anyone acting on the Vendor’s behalf;

All Conference-related spaces, including but not limited to: the exhibition hall, session rooms, networking events, social events, digital platforms (including the official conference app and any messaging tools), hotels, and off-site events associated with the Conference.

2. Expected Standards of Conduct

Vendor representatives must conduct themselves in a professional, respectful, and ethical manner at all times. Vendor participation must not interfere with the safety, comfort, dignity, or experience of attendees, speakers, sponsors, staff, volunteers, or other exhibitors.

3. Harassment, Intimidation, and Abuse Prohibited

Harassment or abusive conduct of any kind is strictly prohibited. Prohibited behavior includes, but is not limited to:

Verbal, written, or physical harassment;

Intimidation, threats, or coercion;

Unwanted sexual attention or inappropriate physical contact;

Stalking or repeated unwanted approaches;

Discriminatory conduct or speech based on protected characteristics;

Retaliation against any individual who declines engagement or reports a concern.

Note: A single serious incident—such as physical contact, threats, or overtly discriminatory conduct—may constitute a violation on its own. A pattern of individually minor behaviors may also constitute a violation in the aggregate. Aggressive or high-pressure sales tactics that cause attendees to feel threatened, followed, or unsafe may themselves constitute harassment under this section.

4. Sales, Solicitation, and Engagement Boundaries

Vendors must adhere to the following engagement rules:

Location Restrictions

Solicitation, demonstrations, and sales conversations may occur only within the Vendor’s contracted booth or authorized space.

Soliciting in aisles, session rooms, networking areas, food lines, restrooms, or outside the venue is prohibited.

Opt-In Engagement

Attendees must be free to decline interaction without pressure or repeated follow-up during the event.

Vendors may not block walkways, pursue individuals who disengage, or repeatedly re-approach someone who has declined.

Badge Integrity

Vendors may not register as attendees, share badges, or otherwise misrepresent their role to gain unauthorized access or solicit attendees.

5. Misrepresentation and Deceptive Practices Prohibited

Vendors may not engage in deceptive or misleading practices, including but not limited to:

Impersonating the Organizer, staff, speakers, or other participants;

Claiming endorsement, partnership, or approval by the Organizer unless expressly authorized in writing;

Knowingly misrepresenting, fabricating, or materially altering conversations or interactions with attendees, including:

Claiming an attendee requested follow-up when they did not;

Mischaracterizing statements made by an attendee;

Fabricating or embellishing the nature of an attendee’s expressed interest;

Using false or misleading accounts of conversations to pressure, shame, or leverage individuals or organizations.

All representations about products, services, pricing, and capabilities must be truthful and substantiated.

6. Recording, Photography, and Use of Attendee Information

Consent Required

Vendors may not photograph, audio-record, or video-record individuals without their express consent.

Recording outside the Vendor’s booth or designated demo area is prohibited unless approved in writing by the Organizer.

Use of Statements and Likeness

Attendee names, quotes, likenesses, or statements may not be used in marketing, testimonials, or promotional materials without explicit written permission.

Data Collection and Retention

Lead capture and data collection must be transparent, lawful, and consensual.

Vendors may not collect personal data through deceptive means or misrepresent the purpose of collection.

Lead data collected at the Conference may only be used in a manner consistent with the purpose disclosed at the time of collection and applicable privacy law. Post-event use of attendee data for purposes beyond those disclosed is prohibited.

7. Digital and Online Conduct

The conduct standards in this Code extend to all digital interactions arising from or in connection with the Conference, including:

Outreach to attendees via the official conference app or messaging features;

LinkedIn or other social media contact initiated using badge-scan or Conference-collected data;

Any electronic communication directed at attendees during the Conference period.

Vendors may not use Conference-collected contact information to send unsolicited bulk messages or engage in conduct that would violate this Code if conducted in person.

8. Duty to Report

Vendors are responsible for the conduct of all individuals representing them at the Conference. If a Vendor becomes aware that one of its representatives has engaged in, or is likely to engage in, conduct that may violate this Code, the Vendor must promptly notify the Organizer. Failure to report known violations may itself be treated as a violation.

9. Compliance with Organizer Direction

Vendors must comply immediately with instructions from the Organizer, venue staff, or security regarding conduct, safety, or use of space. Failure to comply with a directive may itself constitute a violation of this Code.

10. Reporting and Investigation

The Organizer may investigate any reported or observed violation of this Code. Reports may be made by attendees, staff, other vendors, or through Organizer monitoring. The Organizer retains sole discretion in determining whether a violation has occurred.

11. Enforcement and Consequences

Violations of this Code may result in one or more of the following actions, at the Organizer’s sole discretion:

Verbal or written warning;

Immediate removal of individuals from the Conference;

Termination of Vendor participation without refund;

Confiscation or deactivation of badges;

Ban from future Organizer events;

Additional remedies available under the Agreement or applicable law.

Serious violations—including but not limited to physical contact, threats, or egregious misrepresentation—may result in immediate expulsion without prior warning. In all other cases, the Organizer will make reasonable efforts to notify the Vendor before imposing termination of participation.

12. Acceptance

No separate signature is required. By registering for, purchasing exhibition space for, sponsoring, or otherwise participating in the Conference, each Vendor is deemed to have read, understood, and agreed to comply with this Code. Vendors are responsible for ensuring that all employees, representatives, agents, contractors, and anyone else acting on their behalf are aware of and comply with this Code.

This Code is published on the MAC Conference website and may be updated from time to time. Vendors are encouraged to review it prior to each Conference. Continued participation following any update constitutes acceptance of the revised Code.
